Exporting Records

Staff can export their MARC Records through the tool Export Catalog Data. This tool is found in the Cataloging Module in Koha.

Bibliographic Records

The library has the ability to limit this export by one or more of the following options:
  1. limit by bib number range
  2. limit by specific item type
  3. limit by a specific library branch or group of branches
  4. by a call number range
  5. by acquisitions date range
A library can also load a file of bibliographic numbers into this tool to easily identify a group of selected records.


The final options are for a library to export item data with the records. Options include:
  1. not exporting items
  2. remove items not owned by selected libraries
  3. not to export specific fields
The output format includes options for a .mrc or XML export and can be downloaded directly to your computer.



Authority Records

Staff can also export their Authority Records through the tool Export Catalog Data. The library has the ability to limit this export by one or more of the following options:
  1. limit by auth id number range
  2. limit by specific authority type
A library can also load a file of authids numbers into this tool to easily identify a group of selected authority records.



The final options are for a library to not to export specific fields. The output format includes options for a .mrc or XML export and can be downloaded directly to your computer.



How Do I Get an Export of our Koha Holdings for a Third-Party Service?

Libraries using Koha in conjunction with third-party services for discovery services, enrichment like cover images, or inerlibrary loan platforms sometimes need to provide an export of their catalog holdings to update information about their materials.

While this is something we can assist with for a large library, smaller libraries can also do this for themselves, especially if they have under 100k records. The Export data tool in the Cataloging Module can create a file of some or all MARC records. (The job may certainly take a while to complete, but unless it times out altogether, the job should succeed.)

The tool includes a number of parameters - owning branches, item call number ranges, bibliographic records only or records with item data included, and even accessioned date range. If a library needs a more targeted list of records based on more specific parameters, the tool will also accept a csv list of biblionumbers, which can be generated from a report.

The file output will typically be MARC, unless specified otherwise. Beneath that option is the ability to set a custom file name, if a specific convention is required by the third-party service.

This tool can also be used to export authority files.
